NOTE: Most of the functions described below can be accessed by using toolbar icons, or by right-clicking on various parts of the slide or desktop to reach context-sensitive menus.
The Main Menu commands are explained below.

STEP ONE
Create a New Folder

  • Open Powerpoint. The program opens with a blank slide.
  • Save the file before proceeding. Select FILE Save As
  • Click on the icon with a star.


  • Name the new folder and open it by double-clicking on it.
  • Name the presentation and save it.
  • In this folder, save the Powerpoint presentation and all the images, music clips and other elements which will be part of the presentation.

ADD IMAGES

Do NOT copy & paste images onto slides. "This causes endless headaches, especially if the project deadline is near!"

Collect images from the Internet, online encyclopedia, and assorted other sources

  • Right-click on the desired image and Save Image As.
  • The image file formats most frequently used are jpg or gif.
  • Save all images in the new folder from STEP ONE.
  • When saving the presentation to disk, save the entire folder.  

Use SNAG-IT when right-clicking doesn't work

  • Open Snag-IT: START Programs Accessories SnagIT Screen Capture
  • Set INPUT to region.
  • Set OUTPUT to file.
  • Select OUTPUT -->Properties and select either .gif or .jpg.
  • Minimize Snag-IT and press Ctrl-Shift-P. Use the mouse to draw a selection box around the desired image.
  • A SAVE dialog box should appear. Save the image in the new folder created in STEP ONE. 

Use Print Screen when Snag-It doesn't work

  • With the desired image displayed on screen, press the "Print Screen" button on the keyboard.
  • Open Paint: START Programs Accessories Paint
  • Open a new document and Paste.
  • The screen-shot will be pasted from the clipboard onto the Paint document.
  • Crop and save the image as a .gif in the new folder from STEP ONE.  

Insert Clipart

  • Double-click on a clipart placeholder on a preformatted slide, or
  • INSERT Picture Clipart.
  • Browse the clipart collection and select the desired image.  

Insert Other Images

  • INSERT Picture From file
  • Browse the files saved in the new folder from STEP ONE.
  • Most image files will be in .jpg or .gif format.
  • DO NOT insert a saved image into a clipart, chart, or object placeholder. "This causes endless headaches, especially if the project deadline is near!" Delete the placeholder first or, better yet, start with a blank slide; then INSERT the image onto the slide.
  • Locate and select the desired image in the Insert Picture dialog box.

 

ADD SLIDES
Insert new slides

  • INSERT New Slide or Duplicate Slide
  • Do NOT save each slide as a separate presentation.

Import new slides

  • With the Powerpoint presentation open, select INSERT Slides from files
  • A Slide Finder dialog box will appear.

  • Browse for the location of the slide(s) to be imported.
  • Select Display and then Insert or Insert All.
  • Repeat to insert slides from other locations.

ADD COLOR
Format Text

  • Highlight the text to be formatted, then select FORMAT Font.
  • Apply the desired effect.
  • Formatting options in Powerpoint are similar to those available in Word and other Microsoft programs (font, style, size, color).

Apply Design

  • FORMAT Slide Design. A design panel opens to the right side of the slide.
  • Select a design. It can be applied to ALL the slides in the presentation or to just a single slide.
  • Some background details can be eliminated as explained below.
  • See Color Scheme, Background and Variations for other design options.

Apply Color Scheme

  • With the Slide Design panel open, click on Color Schemes. Select one of the choices such as those pictured below. As with the design, the color scheme can be applied to ALL the slides in the presentation or to just a single slide.

  • At the bottom of this panel, you may click on Edit color schemes if you would like to customize your selection. Use this option to change the colors of various components of the slides.

Background

  • Select FORMAT Background or right click on the slide and select Background.

  • Change the colors of various components of the slides.
  • Omit background graphics from some of the design templates.
  • Create a background from a picture. Select the down arrow Fill effects Picture

MOVIES AND SOUND
Collect media files from the Internet

  • Right-click on the LINK for the desired media file and "Save Target As"
  • Save it to the folder created in Step One.  

Insert Movies

  • INSERT Movie and sounds Movie from file
  • Browse the files saved in the new folder from STEP ONE to select the desired video clip.
  • After inserting the video, animation and play settings should be selected as described in Custom Animation.  

Insert Sound

  • Sound effects can be added to slides easily. See Custom Animation.
  • To add music and other sounds, INSERT Movie and sounds Sound from file
  • Browse the files saved in the new folder from STEP ONE to select the desired sound clip.
  • After inserting the sound clip, animation and play settings should be selected as described in Custom Animation.  

ANIMATION
Custom Animation

  • Slide Show Custom Animation
  • A panel similar to the one below will appear to the right of the slide area.
  •  

  • Select an object on the slide to be animated. The panel will allow a variety of choices to be made for each object on the slide.
  • In addition to ability to choose the effect and the animation order for the slide, other settings can be made by clicking the down arrow next to the selected object in the panel and exploring the options available there. 

Slide Transition

  • Slide Show Slide Transition

  • Select the desired effect.
  • Choose how the slides should advance (automatically or on mouse click).
  • Decide which sound effect to use (if any).
  • Apply these choices to a single slide or to all the slides.

AND BEYOND

Insert Objects
  • A variety of objects can be inserted onto Powerpoint slides, including:
  • Word documents
  • Excel spreadsheets
  • Digital camera images and short videos
  • Drawing objects
  • Word Art
  • INSERT Object and select the appropriate file type.

Design Variations

  • An enlarged image can be used to cover the background design. Text and other images may be placed on top of a background image by using the Drawing toolbar at the bottom of the page (if it isn't visible, select VIEWToolbars Drawing: DRAW Order Send to Back.
  • A color-filled shape created using features of the DRAW menu can also be used to cover the background design on an individual slide.
  • Check out the Autoshapes option on the DRAW menu for added interest.  

Watermark

  • Click on an image. The PICTURE toolbar appears or select VIEW Toolbars Picture.
  • Click on the second icon from the left: Image Control.
  • Select Washout.  
Using Slide Master
  • Use this option to make global formatting changes.
  • VIEW Master Slide Master
  • This works if slides were made with layout templates, but not if starting with blank slides.  

Special Tools

    During a slide show, press:
  • CTRL-P -- displays a pen with which to write on the slides; right-click on the slide to choose pen color
  • E -- erases the pen marks
  • CTRL-A -- returns the arrow and
  • W or B -- whites-out or blacks-out a slide. Press the same letter again to return to normal
  • Right-click -- displays a shortcut menu of options.  

Printing

  • DON'T -- without asking first, please!
  • You are welcome to the printouts which you need, but help us preserve printer resources by learning about the proper print job selections before printing.
